         THE RECORDS MANAGEMENT APPROACH TRIUMVIRATE: CATEGORIES, CAPSTONE, AND BIG BUCKET (AND SETTING UP YOUR FILE PLAN)

        ✔  Every Records Management implementation needs to start at the same place: What is a Record and where do you categorize it? In setting up your file plan, you need to decide how you are going to organize your thousands, even millions, of records into something manageable. When you’re starting from scratch, best practices dictate starting with three approaches: Categories, when you know exactly when and how you want to organize records with precision and detail; Capstone, the US Government’s suggestion to only categorize emails from and to the most important people in your organization; or splitting the difference with Big Bucket, making your categories very general yet manageable with minimal need to over-think it. We’ll discuss the pros and cons of each approach to kicking off your file plan.

      If you’re starting implementation of a new RM application, revamping an existing method, or even just starting your search for a solution, any RMA plan is only as good as its ability to talk to your existing document management infrastructure. Before Records Management is even a consideration, organizations like yours are already managing documents in a File Share, on SharePoint, or in a number of legacy applications. When trying to figure out how best to maximize your Records Management, you must consider how well your RM software will play with others. Because if your RM application (current or future) can’t integrate seamlessly with your SharePoint or other legacy apps, you’re going to do twice the work. Find out how to best develop a plan where everyone plays on the same field.

      You and your organization receive hundreds of emails a day, thousands in a month, and millions in a lifetime. There is a point where you can no longer lean on a Records Management team to tag each email and send it to its proper destination, no longer depend on users to drag-and-drop emails into the right folder in Outlook with any accuracy or immediacy, no longer let Capstone’s limitations be your limitations. The only solution for large numbers of emails is auto-categorization. That much is clear. But with so many options for auto-cat, and so many levels of what certain systems can and can’t do, where does that leave Records Managers? We’ll explore the different kinds of auto-categorization systems available, what you really need it to do for you, how much manual goes into making RM automated, and what is the real truth behind just how accurate an auto-cat solution can really be.

      We live in a 2015 global economy, with global organizations doing global business… globally. Your organization may have headquarters on every continent. The reality is that, these days, very few organizations are centralized, and therefore, neither are that organization’s records. And in that global sphere, you and your organization must view your Records Management from a decentralized perspective.       Some use the terms ‘Information Governance’, ‘Information Lifecycle Management’, and ‘Records Management’ interchangeably. But the truth – as you know – is that each are very different yet related disciplines. Just like Workflow is the key component of Business Process Management but is far from the only one, Records Management is the engine that drives your Information Lifecycle Management, but is far from the only part of the vehicle. We wrap up the Fall Semester (on the first day of winter) by tying together all the ideas we’ve broached in the previous classes into a unifying Information Governance lesson where we’ll discuss how it all comes together to insert a complete, integrated, and successful RM solution into your greater Information Lifecycle Management model that every organization should be leveraging.
